Meeting Room Design: 8 Secrets to Making a Professional Impression

A meeting room is a company’s showcase. A cluttered, inadequate or outdated meeting room seriously damages the corporate image. On the other hand, a well-designed meeting room conveys a sense of confidence and professionalism.

1. The Right Table Size

The table length per person should be at least 60 cm. A 240 cm table is ideal for an 8-person meeting. Opt for modular table systems for multi-purpose use.

2. Chair Comfort

Meetings last an average of 90 minutes. During this time, an uncomfortable chair can distract participants. Choose meeting chairs that offer adequate back support, are swivelling, and allow for slight height adjustment.

3. Technology Integration

A cable management box in the centre of the table (HDMI, USB, power sockets), an acoustic ceiling panel and adequate lighting — these are essential features of modern meeting rooms.

4. Visual Focal Point

The back wall of the room, the wall opposite the head of the table — this area should reflect your brand identity. A logo wall, acoustic panel or work of art adds meaning to this space.

5. Layers of Lighting

General lighting + table-top pendant lights + natural light balance. Harsh light from a single source is not only tiring on the eyes but also produces poor image quality during video conferences.

6. Calculating Appropriate Capacity

Allowing 2.5–3 m² per person will create a comfortable meeting environment. A minimum of 25 m² is recommended for a room seating 10 people.

7. Acoustic Insulation

For confidential meetings, acoustic glass, wall panels and door seals are of critical importance. Sound leakage can lead to trust issues.

8. Storage and Organisation

A projection screen or display for presentations, cable organisers, and a designated area for canvases and markers — these elements make the meeting room functional.
